Medical Workforce Coordinator
Location: Northern Beaches
Reports to: JMO Unit Manager

About the role
The Medical Workforce Coordinator supports the smooth day-to-day running of the hospital’s junior medical workforce. This role manages JMO rostering, payroll, recruitment and onboarding, and provides high-quality administrative support to ensure doctors are well supported and clinical services run safely and efficiently.

You will work closely with junior and senior medical staff, hospital leaders, NSW Health, and external training bodies.
Key responsibilities
Rostering & Payroll
  • Prepare and manage JMO rosters, ensuring fair, compliant and cost-effective coverage
  • Process payroll, overtime, callbacks and roster changes accurately
  • Audit overtime claims and liaise with NSW Health where required
Recruitment & Onboarding
  • Coordinate JMO recruitment and credentialing (annual and ad-hoc)
  • Manage onboarding including IT access, payroll setup, security and system access
  • Coordinate rotations with internal departments and external hospitals
Administration & Compliance
  • Maintain accurate records and databases (AHPRA, visas, mandatory training, Safe Working Hours, WWCC, etc.)
  • Prepare reports, correspondence and workforce data as required
  • Manage the shared inbox and respond to phone and in-person enquiries
  • Ensure compliance with relevant awards, legislation and hospital policies
Training, Education & Accreditation
  • Assist with JMO orientation programs and training activities
  • Support medical college and HETI accreditation visits and inspections
  • Assist with teaching and education coordination for JMOs
Stakeholder Support
  • Act as a key point of contact for JMOs and senior medical staff
  • Support staff wellbeing initiatives
  • Liaise with NSW Health, medical colleges, HETI and internal hospital departments
Quality, Safety & Service
  • Contribute to quality improvement and accreditation activities
  • Support workplace health and safety requirements
  • Deliver professional, friendly and responsive customer service
About you (essential)
  • Experience in administration, ideally in a hospital or medical workforce setting
  • Strong organisational skills with the ability to manage high workloads and competing priorities
  • High attention to detail and confidentiality
  • Excellent written and verbal communication skills
  • Confident using MS Office and workforce/payroll systems
  • Ability to work independently and as part of a team
Desirable
  • Experience with rostering and/or payroll for medical staff
  • Knowledge of medical workforce recruitment and employment awards
  • Familiarity with Healthscope systems, Dimensions or Oracle
  • Understanding of medical training pathways and accreditation bodies (HETI, Medical Colleges)
