MAYDAY Recruitment is excited to be recruiting an Office Coordinator & Executive Business Support professional to join a leading organisation's corporate head office in Chatswood.
This is a brilliant opportunity for a polished, proactive and highly organised professional who enjoys combining office coordination, executive support and workplace experience in one genuinely varied role.
Working closely with the Executive Business Partner and wider corporate team, you'll be at the heart of the office - creating a welcoming environment, keeping the day-to-day operations running smoothly and providing high-level support across the business.

What will you be doing?

  • Be the friendly and professional first point of contact for visitors and guests
  • Keep the office looking its best, ensuring meeting rooms, kitchens and breakout spaces are organised and well maintained
  • Coordinate couriers, mail, office supplies and general office requirements
  • Liaise with building management, contractors and external suppliers
  • Manage maintenance requests and help drive workplace improvements
  • Coordinate new starter requirements including workspaces and inductions
  • Organise catering and meeting requirements for workshops, training and corporate meetings
  • Get involved in employee engagement initiatives, office events and team activities
  • Provide high-quality administrative support to the Executive Business Partner and broader leadership team
  • Coordinate busy calendars, meetings and appointments
  • Arrange domestic and international travel, including flights, accommodation and detailed itineraries
  • Prepare and format presentations, reports, correspondence and other business documents
  • Assist with expenses, corporate card reconciliations and invoice processing
  • Support business projects, governance activities and ad hoc initiatives
  • Maintain accurate records and systems across the business
  • Handle confidential information with absolute discretion and professionalism

About you:

  • 3+ years' experience in office coordination, administration, reception, executive support, team assistance or a similar role
  • Excellent organisation and time management skills
  • The ability to juggle multiple priorities without losing sight of the detail
  • Strong communication and stakeholder management skills
  • A naturally proactive, solutions-focused approach
  • Advanced Microsoft Office skills across Outlook, Word, PowerPoint and Excel
  • Experience coordinating travel and supporting senior stakeholders
  • A professional, approachable and service-focused personality
  • The confidence to work autonomously while being a collaborative team player
