Office Coordinator
$45 per hour + Super | Rozelle, Sydney | Hybrid Working | Immediate Start | 3-Month Contract
MAYDAY Recruitment is partnering with a respected national membership organisation to recruit an Office Coordinator to support their NSW Branch.
This is a fantastic opportunity for an experienced administrator, office coordinator, executive assistant or workplace professional looking for a varied role that combines office coordination, stakeholder engagement, event support and committee administration.
As the key point of contact for the NSW office, you'll work closely with members, committees and internal teams to ensure the smooth day-to-day operation of the branch while delivering an exceptional experience to members and stakeholders.
The Role
Reporting into the Manager of Australian Branches, you'll be responsible for supporting branch operations, coordinating meetings and events, managing stakeholder enquiries and ensuring the office runs smoothly.
Key responsibilities include:
- Acting as the first point of contact for members, psychiatrists, trainees and members of the public
- Managing enquiries via phone, email and in person, providing a high level of customer service
- Coordinating branch meetings, committee meetings and stakeholder events
- Preparing agendas, meeting packs, minutes and follow-up actions
- Organising meeting logistics including catering, room setup, AV equipment and online meeting platforms
- Supporting membership administration, database updates and member communications
- Processing invoices and assisting with financial administration
- Liaising with internal teams across Education, Finance, IT and Communications
- Supporting local events, training sessions and member engagement activities
- Providing general office coordination and administrative support across the branch
About You
To be successful in this role, you'll be a highly organised and proactive administrator who enjoys working with people and managing multiple priorities.
You'll bring:
- Previous experience in Office Coordination, Administration, Executive Assistant, Team Assistant or similar support roles
- Strong stakeholder management and customer service skills
- Experience coordinating meetings, events, committees or board activities
- Confidence taking meeting minutes and managing follow-up actions
- Excellent organisational skills and attention to detail
- The ability to work independently and take ownership of tasks
- Strong written and verbal communication skills
- A collaborative and adaptable approach
Experience within healthcare, education, membership organisations, associations, professional services or not-for-profit organisations will be highly regarded.
