Office Manager – Real Estate

MAYDAY is excited to work with a leading Real Estate division that invests in property and real estate-related assets across a globally diversified portfolio spanning multiple countries and sectors, including office, retail, residential, industrial, and alternative asset classes.

An exciting opportunity exists for an experienced Office Manager to support the Australia team. Reporting directly to the Head of Real Estate, Australia, this role is responsible for providing high-level administrative and operational support, including calendar management, meeting coordination, and team support.

You will play a key role in ensuring the smooth day-to-day running of the office, driving organisational efficiency, and supporting cross-functional collaboration across the business.

Key Responsibilities
Business Administration & Operations

  • Develop, implement, and maintain organisational policies and procedures adapted for the Australia office, including business continuity planning

  • Coordinate with internal departments such as Finance, Risk, Audit, and Technology to support policy implementation and operational processes

  • Support the rollout of enterprise-wide initiatives, including workplace, sustainability, and HR programs

  • Ensure compliance with document management and retention policies

  • Maintain departmental information and key stakeholder/partner records

Team & Office Coordination
  • Coordinate internal and external meetings, including scheduling, logistics, and event support
  • Organise team events, onboarding activities, and staff engagement initiatives
  • Manage office operations, including procurement, expenses, utilities, and vendor relationships (e.g. cleaning, maintenance)
  • Oversee office supplies, facilities upkeep, and ensure a well-functioning workplace environment
  • Liaise with internal teams on technology support, upgrades, and access
 Executive & Team Support
  • Provide secretarial support to the Head of Real Estate, Australia, and administrative support to the wider Australia team
  • Manage calendars, meetings, and priorities across the team
  • Prepare meeting agendas, documentation, and minutes
  • Coordinate travel arrangements and itineraries
  • Manage budgets and process expense claims
  • Support stakeholder engagement by coordinating meetings with external partners and senior management
  • Provide additional ad hoc support as required

About You
  • Tertiary qualification with at least 5 years’ experience in a similar role
  • Strong organisational and coordination skills, with the ability to manage multiple priorities
  • Excellent communication and interpersonal skills, with the ability to collaborate across teams
  • Proactive, detail-oriented, and able to anticipate business needs
  • Comfortable working in a fast-paced environment and taking initiative
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Experience in financial services or a corporate environment is highly regarded
