MAYDAY Recruitment is seeking a proactive and detail-oriented Project Coordinator to support the successful delivery of a major New HQ project. This is an exciting opportunity to work closely with a Project Manager, engineers, external consultants, and internal stakeholders to coordinate the planning, fit-out, and relocation to a brand-new head office site.
You will play a key role in ensuring the project is delivered on time, within budget, and aligned with business requirements.

  • Full-time in the office, Monday - Friday: 8am - 5pm

Key Responsibilities:

  • Support the Project Manager and engineering team by coordinating project timelines, milestones, and interdependencies
  • Monitor and communicate timeline impacts, risks, and variances to key stakeholders
  • Prepare, manage, and submit project documentation in line with build and fit-out requirements
  • Assist in compiling and updating User Requirement Specifications (URS) in collaboration with stakeholders
  • Research and document technical requirements for laboratory, warehouse, and manufacturing fit-outs
  • Provide support to ensure the new site meets agreed standards, specifications, and business expectations
  • Assist with planning and executing the office relocation during final project stages
  • Manage and update the project SharePoint page, including communications, updates, and documentation
  • Prepare reports, presentations, meeting minutes, and track actions
  • Provide general administrative and coordination support to the broader project team

About You:

  • 1–3 years’ experience in a similar role
  • Strong communication and organisational skills
  • Detail-oriented with the ability to manage deadlines
  • Collaborative and proactive approach
  • Proficient in Microsoft Office Suite (essential)
  • Ability to learn and adapt to new systems and software
  • Enthusiastic, proactive, and driven
  • Quick learner with a flexible and agile mindset
  • Self-motivated with strong initiative
  • Collaborative team player with a positive attitude
